    Greetings Members:  Planning for the 2022 Christmas Luncheon is already underway and as always, we look forward to a great turnout.  A part of this process involves reviewing past attendance levels, and as discussed at the September General Meeting, this year's Anniversary Dinner/Dance numbers  are down from previous years. We'd love to better understand why members chose not to attend this year,  so we can adjust our approach if necessary. To that end, we are conducting a short poll to assess some of those reasons. We'd appreciate your input in this anonymous poll below, and will use this information for planning purposes going forward.

    The following tentative slate of names was approved by the Management Committee  and presented at our August general meeting to fill the vacant positions, for Year 10 – 2022 to 2023.

    Vice-President: Maggie Boothe

    Secretary: Kelly Ground

    Social Chair: Jenny O’Brien

    Program Chair: Roy MacKay

    Any further nominations (with prior consent to stand) shall be conveyed, in writing or by email, to Nominating Chair: Wayne Herder and copied to the President: Diane Comstock at least 14 days prior to the Annual Meeting (Tuesday Sept. 6 11:59pm)

    When planning activities or social club events, we plan our budget to be cost neutral.  In some cases we have to provide the ‘vendor’ with a deposit.  As you know, some of our activities and social club events are limited to a certain number of members.  From there we use a waitlist.  Pre-COVID cheques were cashed at the beginning of the month of the event unless otherwise stated.  We are following this same practice now in that once the registration date has expired on Wild Apricot, we will not be able to provide a refund for the activity/event.  We appreciate that last minute things come up and by no means do we want you to participate in a function if you are feeling unwell.  You are more than welcome to find a replacement either from a waitlist or another PROBUS member.  This will ensure that we have sufficient funds received for the event and to remit payment to the vendor(s) involved.  While there may be situations where we can refund you, we don’t want you to count on this.  An example of this is if the vendor agrees to charge based on the number of members actually attending the function.

    We sincerely appreciate your participation in our activities and social clubs events and trust you are enjoying them as well.

    As you are aware, our club adheres to any provincial restrictions and recommendations regarding COVID. The following must be adhered to when attending an in-person PROBUS Meeting, Social Club, Social, or Activity event.

    • You must be fully vaccinated - you will need to show proof of identity and your QR code vaccination certificate
    • You must have accepted our Waiver Form on your profile page and have sent a signed copy of the Waiver Form to our Membership Chair
    • On the day of the event, you have answered NO to all screening questions.

    Let’s continue to practice social distancing and keep us safe and healthy!

    As of Sept. 22, 2021, we will adhere to the provincial requirement for meeting indoors at restaurants or meeting halls, and you will need to show proof of identity and proof of being fully vaccinated against COVID-19.

    As our year comes to an end we require a quorum to approve the Year-end Financials and approve the new management team slate.

    On Friday, Sept. 10, a poll will be sent out with a link to the Proforma Financial Statement and the slate of management candidates. You have the option to register your vote via the poll prior to 6pm Tuesday Sept. 14 or at the meeting.

    If you do not vote via the poll, it is important that you attend the meeting in order to achieve a quorum.

    Recruitment has been ongoing for these management team positions: vice-president, treasurer, membership, activities, and Forum editor. In a non-management role, an auditor is also required.
    Further nominations can be made by contacting Liz Read, past president, before September 1.  
     A tentative slate of names was presented at our August general meeting and barring additional nominations, this slate will be published in the September Forum.

    An Important Message from the Escarpment PROBUS Management Committee about COVID Vaccinations

    Most of us have been fully vaccinated and while there are no immediate plans to hold a hybrid general meeting, we do have Social Clubs and Activities resuming.  As you are aware, our club adheres to any provincial restrictions and recommendations regarding COVID.  To ensure the safety of all of us - especially immunocompromised friends and family - and all unvaccinated children, we request that any member participating in an in-person PROBUS Meeting, Social Club or Activity be fully vaccinated.  If you are not fully vaccinated, you are not permitted to participate.  We will not be requesting proof, but will be running PROBUS Meetings, Social Clubs and Activities on the honour system.

    Let’s continue to practice social distancing and keep us safe and healthy!
